Unit 1: Introducing Word

Lesson 3: Documents, Files and Disks

How do you preview a document before printing it?

Even though computers were originally expected to obviate or greatly reduce the need for paper documents, they have actually sparked an increase in the use of paper. One explanation is that computers enable more information to be created and communicated so there is more information available for printing. Judging from the amount of discarded printouts found at most public computer printers, another possible (more flippant) explanation is that the increase in paper use is caused by people making mistakes while printing from the computer. This objective will give you the information you need to print your documents right the first time, saving time and resources.

To preview your document, either select the Print Preview command from the File menu, or click the Print Preview icon  on the button bar.

On your screen a window will open showing a full-page view of your document.

When you position the cursor over the document image the cursor will change to a magnifying glass . (Note: If the cursor doesn't change to a magnifying glass click the button on the toolbar.) For a closer look at the page image, click the left mouse button while the is over the page image. Notice that by clicking the document image you can toggle between different magnifications of the page image. (Note: Zooming will not change the printed appearance of the document; it simply gives you a choice of how to see it on the screen.)

When you're ready, you can either press the Cancel button to return to your document editing window, or press the Print button to print the document immediately.
